- Introduction
These Terms and Conditions govern participation in the event 7Th INTERNACIONAL CONGRESS INTEGRATIVE MEDICINE (ICIM 2025), taking place on 5 and 6 December, Exponor - Oporto, organized by Portuguese Society of Integrative Medicine (SPMI)
They also apply to the use of the official event website and registration platforms provided.
SPMI reserves the right to modify the presentation, configuration, and content of the event and its platforms at any time, as well as the conditions of access and/or use. Any modifications will take effect immediately upon publication.
By accessing, browsing, or using the website or any associated platforms, the participant expressly and unconditionally accepts these Terms and Conditions.
By purchasing a ticket or submitting a registration, the participant fully accepts these Terms and Conditions and acknowledges and accepts the event's Privacy Policy.
- Use of Event Platforms
The event platforms are intended solely for lawful and appropriate purposes. Use of the platforms for illegal, fraudulent, defamatory, offensive, obscene, or rights-violating purposes is strictly prohibited.
Any misuse will result in immediate cancellation of the registration and may lead to civil and/or criminal liability.
The organizer reserves the right to take all necessary measures to protect the security and integrity of the platforms, including monitoring suspicious activity and cooperating with competent authorities.
- Participation Modes
3.1. Hybrid Event
The event allows for both in-person and virtual participation.
3.2. General Conditions
Registration is personal and non-transferable. Registration on behalf of others is not permitted.
The organizer reserves the right to deny access—either in person or online—to any participant who violates these Terms or is deemed unsuitable.
Participant capacity may be limited due to legal or operational constraints.
- Conditions
4.1. Discounts and Invitations
Registration fees may vary depending on the participant's profile.
Participants might be required to provide proof of eligibility for discounts at the time of registration.
The organizer reserves the right to request additional proof at any time. Failure to provide it may result in the charge of the full ticket price.
Incorrectly selecting a discounted category may result in full price being charged and may exclude the participant from future editions of the event.
4.2. Payment Methods
Payment must be made at the time of registration. Accepted methods include:
- Credit and Debit Cards (Visa, Mastercard, American Express)
- Wallets: Apple Pay, Google Pay, Revolut Pay
- Multibanco Reference
- MB Way
Payments are securely processed by Stripe and/or IfThenPay, under their respective terms and conditions.
4.4. Receiving Entity
Payments will be collected by: SPMI
4.5. Invoicing
Invoices will be issued by: SPMI, VAT number 515591785
Issuance may occur automatically or manually, up to a maximum of 7 days after the event.
Participants are responsible for correctly providing billing information at the time of purchase. Invoices will not be reissued for data correction after issuance.
- Verification and Fraud Prevention
The organizer reserves the right to verify the accuracy of the information provided, including eligibility for discounted categories.
In cases of fraud or intentional misrepresentation, the participant may be charged the full fee, denied entry, and subject to legal action, including notification of relevant authorities.
- Communications and Notifications
6.1. By accepting these Terms, the participant agrees to receive notifications via email, SMS, and—if applicable—push notifications through the event application.
6.2. The participant also agrees to receive emails regarding future editions of the event. Unsubscribing can be done at any time via the links provided.
- Event Cancellations and Changes
7.1. Cancellation by the Organizer
If the event is cancelled, the participant will be refunded the amount actually paid for the registration.
The organizer will not be liable for any additional expenses such as travel or accommodation.
Force majeure situations, including but not limited to natural disasters, pandemics, armed conflicts, or legal mandates, do not entitle participants to a refund, and the organizer bears no additional liability.
7.2. Rescheduling
If the event is rescheduled, participants may choose to keep their registration or request a full refund. Notification will be sent by email. Refund requests must be submitted in writing to spmedicinaintegrativa@gmail.com by 5/12/2025.
7.3. Change of Venue
In the event of a venue change:
- If the new location is within the same geographic area (e.g., same district) and core aspects of the event experience remain unchanged, no refund will be issued.
- If the change involves significant travel, logistical alteration, or material impact on previously announced conditions, it will be considered a rescheduling, and clause 7.2 will apply.
- In exceptional and justified cases, the organizer reserves the right to maintain the validity of the registration without refund, when such a change is required due to force majeure, security, or legal compliance.
7.4. Program Changes
The organizer may modify the schedule, speakers, or sessions as necessary.
Such changes do not entitle the participant to a refund.
- Cancellation by the Participant
Cancellations requested by the participant are not eligible for refunds.
- Substitutions
Participant substitutions are allowed until 15/11/2025, via request to spmedicinaintegrativa@gmail.com.
If the registration platform provides a specific substitution feature, that must be used by the participant.
- Image and Recording Consent
By attending the event in person, the participant authorizes the organizer to capture and use their image (photos, video, or other) for communication and promotional purposes.
The participant acknowledges that some sessions may be recorded and used for educational or promotional purposes and consents to the inclusion of their image or voice in those recordings without additional compensation.
- Privacy Policy and Data Protection
11.1. The participant declares to have read and accepted the organizer’s Privacy Policy.
11.2. Collected data will be used exclusively for event management, communication, and security purposes.
11.3. The organizer undertakes not to disclose personal data to third parties, except where required by law or necessary for the event’s execution.

- Participant Liability
Participants are liable for any damages caused during their participation, whether in person or virtual.
The organizer accepts no responsibility for lost, stolen, or damaged personal belongings during the event.
Participants must comply with all conduct and safety rules imposed by the organizer and/or venue manager. Violations may result in immediate expulsion without refund.
- Organizer Liability Limitations
The organizer shall not be held liable for losses, damages, or disruptions arising from participation, unless legally established.
The organizer is not responsible for technical failures or interruptions on virtual platforms.
- Intellectual Property
All content, branding, promotional, or academic materials associated with the event are the exclusive property of the organizer.
Reproduction or use without prior written authorization is strictly prohibited.
- Governing Law and Jurisdiction
These Terms are governed by the laws of Portugal.
Any disputes arising from these Terms shall be submitted to the exclusive jurisdiction of the courts of Oporto with express waiver of any other jurisdiction.
